Your guide to Gmail categories + bonus organization tips

On average, a single person receives about 121 emails every day. Even if your daily count isn’t so staggeringly high, it doesn’t take much for your inbox to feel chaotic. A constant flow of emails can bury important messages and slow down your response time.

The solution? Knowing how to make the most out of Gmail's organization features, starting with Gmail categories.

What are Gmail categories?

Gmail categories are built-in tabs that automatically sort your incoming emails into different categories. They were introduced in 2013 to make the inbox less overwhelming and easier to manage.

To organize your emails, Gmail utilizes a machine learning system that analyzes signals, such as senders and your typical activities. Based on that, it sorts emails into these five categories:

There is a built-in cap, though. If there are over 250,000 emails in your inbox, you won’t be able to turn on categories. Even if this is the case, the solution is fairly simple—just archive or delete your old emails. If you have a ton of emails to delete, you can always use a cleaner app.

Can you create new categories in Gmail?

If you’re wondering how to create a category in Gmail, the short answer is you can't—at least not manually. You can only organize emails within the preset categories. However, Gmail allows you to show or hide the ones you want for a touch of personalization.

You can manage the categories across different devices, so let’s go over how to do it on:

  1. Computer

  2. Android

  3. iPhone or iPad

1. How to add or remove categories on a computer

To turn on Gmail categories, follow these steps:

  1. Open Gmail

  2. Select Settings and then click See all settings at the top right

  3. Go to the Inbox tab

  4. Under Inbox type, choose Default

  5. Under Categories, tick the box next to a category you want to show in your inbox

  6. (Optional) Tick the box next to Include starred in Primary if you want to show starred messages in the Primary category

  7. (Optional) Tick the box next to Enable bundling of top promo emails in Promotions if you want to allow top promotions in the Promotions tab 

  8. Select Save changes

If you deem a certain category redundant, you can remove it at any point in the following way:

  1. Open Gmail

  2. Go to Settings

  3. Select See all settings

  4. Choose Inbox 

  5. Under the Inbox type, uncheck the categories you don’t want

  6. Select Save changes

2. How to add or remove categories on an Android

The steps to add or remove categories on your Android device are much the same as on a computer. All you need to do to show the categories you want is:

  1. Open the Gmail app

  2. Click Menu at the top left and then select Settings

  3. Choose your account

  4. Click Inbox, and then Default Inbox

  5. Select the Inbox categories and then check the categories you want

  6. (Optional) Tick the box next to Include starred in Primary if you want to show starred messages in the Primary category

  7. (Optional) Tick the box next to Enable bundling of top promo emails in Promotions if you want to allow top promotions in the Promotions tab

The following steps show you how to hide the unwanted categories:

  1. Open the Gmail app

  2. Tap Menu 

  3. Select Settings

  4. Choose your account

  5. Select Inbox categories and uncheck the categories you don’t want

3. How to add or remove categories on an iPhone or iPad

If you want to manage your categories on an IOS device, you’ll only need a minute. Here’s how to turn on categories:

  1. Open the Gmail app

  2. Tap Menu, and then select Settings

  3. Under Inbox, choose Inbox type

  4. Select Default Inbox.

  5. Choose Settings at the top left

  6. Click Inbox customizations and then Inbox categories

  7. Turn on the categories you want

To turn off some or all inbox categories, take these steps:

  1. Open the Gmail app

  2. Go to Menu, and then Settings

  3. Choose your account

  4. Tap Inbox customizations and then Inbox categories

  5. Turn off the categories you don’t want

How to manage emails within categories

Once you organize emails into categories, you might want to search for a specific email within a category. However, if you enter a keyword in the search bar, it will go through the entire inbox—not exactly helpful when you’re trying to narrow down the search.

That’s why Gmail allows you to search for emails only within a specific category. Just enter category: [name of the category] and then type your search term, and Gmail will focus on that category. For example, if you type “category: Social invite,” Gmail will source all emails with the keyword “invite” within the Social category.

Another option you have is to move emails between categories. So, if you place an email in the wrong category, you can always move it later on. There are two methods you can use, and we’ll take you through each in the table below:

After you make the transition from one category to another, Gmail will ask you if you want to categorize similar future emails the same way.

Improve how Gmail sorts your emails into categories

Even though Gmail uses smart automatic sorting, it doesn’t get it right every time. So, don’t be surprised if some emails land in the wrong category

That said, Gmail’s system can learn over time. Machine learning systems absorb and adapt, meaning that you can teach Gmail to improve its sorting skills. You can share your preferences by:

  1. Moving messages to the right category when Gmail makes a mistake

  2. Creating "folders" to direct emails from specific senders (or based on other criteria) to specific categories

  3. Adding known senders to your contacts to indicate to Gmail that their emails are important

  4. Replying to an email to signal that you know the sender

These simple actions can tell Gmail more about what matters to you and which emails belong where, so it can fine-tune its algorithm.

Beyond Gmail categories: Other ways to organize your inbox

Besides using categories, there are other ways you can cut through the chaos in your inbox. If you want to make your inbox more manageable, improve your productivity, and spend less time engaging with emails, consider the following organization tips:

  1. Use Gmail labels

  2. Create rules to filter emails

  3. Archive and delete emails

  4. Revise your subscriptions

  5. Leverage automation tools

1. Use Gmail labels

If you don’t want to move emails into different categories but would still like a more organized inbox, use Gmail labels instead. With labels, you can apply tags to emails to define your messages more precisely. This way, you can group related emails without moving them out of their location.

You can create your own labels and attach as many labels as you want to an email. For example, if you want to organize your Socials category according to different social media, simply create labels like Instagram, Facebook, TikTok, and so on. When you want to check Instagram-related emails, just click on that label, and Gmail will display those messages. You can also change or delete labels if your preferences change.

2. Create rules to filter emails

Gmail rules are automated filters that can organize your inbox according to your chosen criteria. They may not be an advanced sorting tool, but they can handle some basic tasks such as:

  • Moving emails to categories

  • Labeling

  • Archiving

  • Deleting emails

  • Forwarding emails

Here’s how you can create your own rules:

  1. Open Gmail

  2. Select Show search options in the search box

  3. Add your search criteria

  4. Click Create filter

  5. Check the action that you’d like the filter to do

  6. Select Create filter

3. Archive and delete emails

One essential step toward decluttering your inbox and improving your productivity is archiving and deleting unnecessary emails. To get rid of clutter in the gut and free up some storage space, delete emails with large attachments.

On the other hand, if you’d like to revisit something later, you can move it to the Archive folder. This way, it won’t take up space in the main inbox or Gmail categories, but you can still access it in All Mail.

4. Revise your subscriptions

Most of us are guilty of piling up a bunch of random subscriptions that fill up your inbox and drown out important emails, especially in the Promotions.
